This includes an individual's name, address & phone number, etc. We strive to maintain current profiles (Clients & Candidates) by accessing applicable information, such as contact details; experience & education, details of work relevant to position seeking for Candidates; & job posting, company details, description of business, job & type of Candidate seeking for Clients.
- Pertinent information related to you is stored & accessed: for Candidates, our interview notes, information from references provided by you with explicit permission for us to collect that information, & as applicable once you are onboarded for a contract, payroll service information including business name or Social Insurance Number, banking information, tax details & vacation allowances; for clients, interview notes & any information required by our accounting department to facilitate invoices.
Why We Collect Your Personal Information
- In order for us to provide you with our relevant services, we are required to ascertain specific details:
- On the Candidate side, we will utilize that information to gain an understanding of your qualifications & search parameters in order to provide you with the best job opportunities, while satisfying our clients’ request for detailed information about prospective Candidates. On the client side, we will request specific information to allow us to provide our services. We will use that information to assess your needs & expectations which will allow us to provide you with the Candidates to fill your role/s. For both Candidates& clients, we will assess our collection of information to determine how we can improve our business operations to best serve our Candidates. In addition, Step by Step Professional Services Incorporated will use the information collected to facilitate payroll services & other administrative duties; never collecting more personal information than is necessary to carry out those business functions, unless requested by the client & provided consent to do so by the Candidate.
When & to Whom We Disclose Personal
- Your personal information is never traded, sold or leased by us to any external companies. Your personal information is only disclosed for Step by Step Professional Services Incorporated' legitimate & disclosed business purposes or as required to meet legal & regulatory requirements, i.e. to comply with a court order.
- As a function of our business services, we disclose the personal information of our candidates to our clients when we deem there is a potential match to a job. We only provide a candidate’s personal information to a client for jobs that we feel they may be suitable for. The personal information released is that which is required & requested for the client to be able to make an informed decision on the candidate for their job. Said information may include, but is not limited to, the candidate’s resume, references to the client and business description of the client to the candidate.
- Your personal information may be shared with our affiliates, partners, or other companies (collectively "representatives") that we utilize to facilitate our complete staffing services. We will, however, only disclose the limited information that is required for the specific function to be performed on our behalf by the representative. We also ensure that every contract we enter into with a representative clearly states the representative's obligation to protect your personal information & abide by the principles of privacy. The release of your personal information shall not compromise any Federal or Provincial Legislation. A specific example of companies we may share your limited personal information with would be companies that perform background checks such as criminal, credit & educational checks as required by the client & consented to by the candidate.

Wherever possible & when necessary, we obtain your express consent for particular uses & disclosures. I.e.: if you list the names & phone numbers of your previous employers on your resume for reference checking purposes, we will not seek your express consent before checking these references. - We retain your personal information for as long as you are using our services, or longer if required by law. For placed candidates, we retain your pertinent information while you remain on our payroll, & for seven years thereafter and for candidates placed in permanent roles, we retain your pertinent information for one year after you have accepted a permanent employment position.

- We maintain specific policies & procedures for our staff to ensure that your personal information is secure, physically & digitally.

- Access to our offices is restricted and we require guests to sign in & to be accompanied by a staff member at all times.
- Physically stored documents are secured in locked filing cabinets and/or shredded when discarded.
- Digital & physical files are accessed on a limited, need to know basis dependent on function of employee.
- Multifactor Authentication is utilized for all system access and password selection & our expiry policy serves as a security recommended detriment to unauthorized access.
